Support Officer
Duties
A. Strategic Planning & Policy Support
- Contribute to development of strategy policies, standards, processes, and planning guidelines
- Support strategy execution and related change planning activities
- Ensure stakeholder awareness of strategic approaches and timelines
- Produce reports, insights, and supporting analysis for strategy management
B. Specialist Advisory Role
- Provide expert advice within own specialism
- Maintain up-to-date knowledge in relevant domains
- Work with other specialists to ensure accurate, aligned guidance
C. Stakeholder Management
- Manage issues, corrective actions, and lessons learned
- Implement stakeholder engagement and communication plans
- Collect feedback to improve stakeholder processes
- Strengthen relationships across internal and external stakeholders
D. Business & Executive Administration
- Coordinate cross-functional strategic initiatives
- Organize executive meetings (agenda, structure, outcomes, follow-up)
- Track actions, risks, and progress with leadership teams
- Report on initiative progress and resolve issues
E. Office & Operational Administration
- Organize large meetings and conferences
- Improve administrative processes and workflows
- Monitor effectiveness of support functions
- Ensure smooth communication and coordination across stakeholders
- Handle highly sensitive and confidential information
F. Data, Reporting & Analytics (Key Additions)
- Develop and maintain Power BI dashboards for portfolio performance reporting
- Consolidate and analyse metrics from ServiceNow and EBA systems
- Produce actionable insights and management reports
- Ensure consistent, accurate reporting for portfolio oversight
- Support information flow across organizational interfaces
Additional
- Deputise for higher-grade staff when required
- Perform other assigned duties as needed
Requirements
Education & Experience
- Bachelor’s degree in a relevant discipline 2 years relevant experience
OR - Exceptionally: 6 years of relevant progressive experience in lieu of degree
Essential Experience
- Minimum 2 years in management support or professional administrative/coordination roles
- Ability to manage multiple tasks under pressure and tight deadlines
- Experience producing clear, structured reports and communicating complex information
- Strong drafting, editing, and briefing/report writing skills
Desirable Experience
- Business process design and implementation
- Resource and personnel planning
- Budget planning and management
Skills & Tools
- Strong proficiency in Microsoft Office Suite
- Experience with reporting/analytics tools:
- Microsoft Power BI
- ServiceNow
- Strong coordination, organization, and communication skills
Training / Certifications (preferred)
- Management of Risk (MoR)
- PRINCE2 Foundation
Working Conditions
- Location: Braine-l'Alleud
- Full-time on-site
- Occasional travel within Belgium (1–2 times/month) and potentially international operational sites
- Office environment with confidential/sensitive information handling
- Contract period: 08 Jun 2026 – 31 Dec 2026 (836 hours)
- Security Clearance: NATO Secret (within NATO Communications and Information Agency context)
