Principal Assistant

Key Duties

  • Act as central coordination point between the Business Unit Owner and internal stakeholders (incl. NIMSC Front Office).

  • Support resource planning and staffing alignment with relevant management offices.

  • Monitor and report on:

    • Budget/fund execution

    • Project & service KPIs

    • Resource usage vs. approved plans

  • Assist Project and Service Delivery Managers in tracking progress, timelines, and budget adherence.

  • Prepare and deliver weekly, monthly, and quarterly reports and statistical analyses.

  • Coordinate recruitment, contracting, and manning status tracking.

  • Support communication and reporting across management levels.

  • Manage administrative activities including:

    • Travel and contractual coordination

    • Training organization (technical & behavioural)

    • SharePoint/intranet content management and standardisation

  • Drive process improvements and centralisation of information repositories.

  • Oversee inventory, accounting coordination, space management, and security representation.

  • Act as primary administrative point of contact for personnel.

  • Deputise for senior staff when required.


Essential Requirements

  • Education & Experience:

    • Higher vocational qualification 3 years relevant experience

    • OR secondary education 5 years relevant experience

  • Proven experience in:

    • Resource planning & personnel management

    • Budget planning and monitoring

    • Coordination, organisation, and stakeholder communication

    • Reporting and documentation

  • Strong proficiency in:

    • Microsoft Office (Excel, Word, PowerPoint, Project)

    • SharePoint and databases


Desirable Qualifications

  • Experience with statistical analysis and reporting

  • Knowledge of project management methodologies (PRINCE2, PMP)

  • Familiarity with:

    • NCI Agency / NATO structures (ACO/ACT)

    • International/military environments
