Principal Assistant – Business Management
Oeiras, PT

Duties & Responsibilities:

  • Manage business administration services and support senior managers and leadership teams.

  • Coordinate calendars, prioritize meeting requests, and manage sensitive/confidential information.

  • Ensure managers have necessary resources and information to support processes and cross-team coordination.

  • Facilitate departmental information flow, knowledge sharing, and alignment of administrative activities.

  • Create, track, and manage multi-level tasks for self and team members.

  • Manage project portals, document libraries, and project status reporting.

  • Support project delivery including scope, resources, timelines, risk & issue management, and change management.

  • Implement and monitor information and records management policies and controls.

  • Coordinate stakeholder engagement and communications, plan events/workshops, produce minutes, and track action plans.

  • Assist in resource planning and allocation, monitoring performance, and coordinating with Resource Managers.

  • Recommend remediation actions and identify risks associated with information use.

Requirements:

  • Education & Experience:

    • Higher vocational training with 5 years post-related experience, or secondary education with 3 years post-related experience.

  • Strong analytical, business analysis, and reporting skills, including Power BI.

  • Experience with Agile methodologies and Kanban tools.

  • Proficiency in project planning/control and resource management tools (e.g., MS Project, ServiceNow).

  • Strong interpersonal, communication, and stakeholder management skills.

  • Proven ability to build relationships with internal and external stakeholders.

  • Experience in planning, problem-solving, and resource management in complex environments.

Working Conditions: Office-based, full-time.
